1. General Overview

Welcome! These terms apply to all services provided by Beyond The Map Japan. By booking with us, you agree to these friendly “ground rules” to ensure your trip to Japan is as smooth as possible.
 
 

2.Consultation & Itinerary Design

  • Payment: Fees for consultations and custom designs are due upfront to secure your spot in our calendar.
  • Revisions: We want you to love your plan! Your itinerary includes [e.g., two] rounds of minor edits. Significant changes to the destination or duration may require a new booking.
  • Nature of Service: We provide recommendations based on local expertise. While we strive for perfection, we are not responsible for sudden closures, weather changes, or third-party service quality. 

3. Booking Service

  • Agency Disclaimer: We act as your representative to make reservations (restaurants, activities, etc.). Your contract for the actual service is with the venue/provider.
  • No-Show Policy: If you cannot make a reservation we booked, please notify us or the venue directly. You are responsible for any “no-show” fees charged by the venue.
  • Availability: We cannot guarantee a booking until the venue confirms it. If your first choice is full, we will suggest a great alternative!

4. The Little Extras

1. Individual Booking 
 
  • Service Scope: This follows the same rules as our “Booking Service.” We act as your representative to secure reservations at restaurants, activities, or venues.

  • Fees: Our service fee covers the work of securing the reservation and is non-refundable once the booking is confirmed.

  • Changes: Any changes to a confirmed a individual booking will incur an extra  $15 fee
    per cancellation/re-booking.
 

2. Local Friend in Your Pocket (Phone & Message Support)

  • Cancellations: We offer a 100% refund if you cancel at least 24 hours before your scheduled service start date.

  • Rescheduling: We know travel is unpredictable! You can reschedule your date once for free with 24 hours’ notice.
  • Availability: This service is for translation, navigation, and cultural advice during your selected hours ($30 for 9am–9pm or $50 for 24-hour support).

  • Emergency Disclaimer: We are your local friend, not an emergency service. Please dial 110 or 119 for immediate police or medical help.


3. One-Time Japanese Lesson
 

  • Rescheduling:  You can reschedule your lesson once for free with 24 hours’ notice. If you wish to reschedule face-to-face session, it will be held via Zoom. This helps us keep our services affordable by avoiding double venue costs.

  • Cancellations: Cancellations made with less than 24 hours’ notice are non-refundable, as we have reserved that time and potentially a venue for you.

5. Cancellations & Refunds

  • Service Fees: Our design and booking fees are generally non-refundable once work has commenced, as they cover our time and expertise.

  • External Factors: While we wish we could control the Japanese weather, we cannot be held responsible for cancellations due to weather events, natural disasters, or airline disruptions. In these cases, we will do our best to help you reschedule, but our original service fees remain.

  • Personal Reasons: Cancellations made for personal reasons or “change of mind” are subject to our standard non-refundable policy.

  • Fair Play: We are human! If you face a truly unforeseen emergency, please reach out. While we can’t guarantee a refund, we will always try to find a helpful middle ground, such as a credit toward a future trip.
